Getting Started

MedBilling requires no account or sign-in. When you first open the app, the database is created automatically on your device. Start adding records immediately from the Data Entry tab.


Adding a Record

  1. Tap Data Entry at the bottom of the screen.

  2. Fill in the fields for patient, provider, date of service, amounts, and claim status.

  3. To attach a bill image or PDF, tap Add Bill / Document and choose from your photo library or files.

  4. Tap Save Record. The record appears immediately on the Dashboard.

Tip: You can add multiple images to a single record. Each one appears as a thumbnail you can tap to view full-size.


Editing a Record

On the Dashboard, tap the ✏️ (edit) icon on any record row. The Data Entry form will pre-fill with that record's data. Make your changes and tap Save Record.

To edit records from the desktop browser, click the ✏️ icon in the Actions column of the records table. Changes made in the web view sync to your phone instantly.


Deleting a Record or Image

On mobile: Tap the 🗑 (delete) icon on a record card to delete the record. To delete an individual image, tap the red × badge on the image thumbnail.

In the web view: Click the 🗑 icon in the Actions column to delete a record, or click the red × on an image thumbnail to delete just that file.


FSA / HSA Tracking

Set the Submitted to FSA/HSA field to Yes on any record to have it appear in the FSA/HSA tab. From there you can log your submittal date, submittal ID, and track reimbursement status separately from your insurance claim status.


Deductible Tracking

MedBilling automatically totals your In-Network Deductible and Out-of-Network Deductible contributions across all records, grouped by patient. View these totals in the Deductibles tab. To set your annual deductible limits, tap Deductibles → Edit Limits.


Desktop Access (LAN)

  1. Make sure your phone and computer are on the same Wi-Fi network.

  2. In the Settings tab, expand LAN Access and tap the toggle to start the server.

  3. The URL (e.g. http://10.0.0.5:8080) will appear on screen. Open that URL in any desktop browser.

  4. The web view shows your full records table, dashboard, FSA tracker, and deductibles. You can add, edit, and delete records and images from the browser.

  5. Any change made in the browser appears on your phone immediately.

Note: The LAN server is only accessible on your local network. Nothing is sent over the internet.


Exporting Your Data

Go to Settings → Data → Export.

  • Export CSV — exports all records as a spreadsheet-compatible CSV file.

  • Export ZIP — exports the full CSV plus all attached bill images in a single ZIP archive. Use this for a complete backup or to transfer data to another device.

You can filter the export by date range before exporting.


Importing Data

Go to Settings → Data → Import.

  • Import CSV — imports records from a CSV file. Existing records are not overwritten; records are matched by ID.

  • Import ZIP — imports records and bill images from a previously exported ZIP archive.

Important for Android users: The file must be saved to your device's local storage before importing. Importing directly from a cloud storage provider (such as Nextcloud or Google Drive) is not supported and may cause an error. Download the file to your Downloads folder first, then import from there.


Changing Currency

Go to Settings → Display → Currency and search for or tap your preferred currency. All amounts in the app will update to display that currency symbol.


Export Date Filters

When exporting, tap the From or To date fields to open a date picker. Select your desired start and end dates to export only records within that range.


Frequently Asked Questions

Is my data backed up to the cloud? No. All data is stored only on your device. Use the Export ZIP function to create your own backup.

Can I use MedBilling on multiple devices? You can export a ZIP from one device and import it on another. The LAN web view allows desktop access but does not sync between two phones.

Does MedBilling work offline? Yes, completely. An internet connection is never required.

I deleted a record by mistake. Can I recover it? No — deletions are permanent. We recommend exporting a ZIP backup periodically.

The web view says "Disconnected." Make sure your phone screen is on and the LAN server is still running (Settings → LAN Access). If the issue persists, disable and re-enable the server, then refresh your browser.
